Job Summary:
We are seeking an experienced and proactive Office Manager to oversee and manage the day-to-day operations of our new Adelaide branch. As we establish our presence in the Australian LNG market, this role is pivotal in supporting the office's foundational setup and smooth functioning.
As a startup branch with a small team initially, the Office Manager will wear multiple hats, handling various responsibilities while ensuring operational efficiency. With plans for future growth, this role offers a unique opportunity to contribute significantly to the company’s expansion in Australia.
Key Responsibilities:
- Set up and manage the office infrastructure, including lease agreements, utilities, and facility maintenance.
- Develop and implement office policies and procedures in compliance with local laws and company standards.
- Oversee office supplies, equipment procurement, and vendor management to ensure operational efficiency.
- Support recruitment efforts and manage onboarding and offboarding processes for the small, dynamic team.
- Maintain accurate employee records and ensure compliance with Australian labor laws.
- Act as a point of contact for HR-related queries, escalating issues to the global HR team as needed.
- Handle budgeting, expense tracking, and financial reporting for the Adelaide office.
- Assist in managing vendor contracts, invoicing, and payments in coordination with the finance team.
- Support the leadership team with scheduling, meeting coordination, and travel arrangements.
- Ensure regulatory compliance in collaboration with legal and compliance teams.
- Serve as a liaison between the Adelaide office and regional/global offices.
- Implement and manage health and safety policies per Australian regulations.
- Coordinate regular safety training and compliance checks to maintain a safe working environment.
- Organize office events, training sessions, and stakeholder meetings.
- Act as the first point of contact for visitors and external partners.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience as an Office Manager or in a similar administrative role, preferably in the oil and gas or energy sector.
- Strong understanding of Australian labor laws, health, and safety regulations.
- Excellent organizational, problem-solving, and multitasking abilities.
- Proficiency in Microsoft Office Suite and familiarity with office management software.
- Strong communication and interpersonal skills, with the ability to work effectively in a multicultural environment.
- Financial acumen and experience managing budgets and vendor contracts.
Preferred Qualifications:
- Prior experience in supporting a startup office setup or expansion.
- Familiarity with the LNG industry or energy sector operations.
- Experience liaising with international teams and stakeholders.
